JEPS Hot Spring Inn Reservation Guide
Payment methods for inns: advance payment, payment on arrival, credit card, cash.
There are several ways to pay for your stay at a ryokan (Japanese inn): paying the full amount at the time of booking, paying on-site, or paying the accommodation fee in advance and any additional charges on-site. "Paid" and "no need to bring your wallet on the day" are not the same thing.
Conclusion first Payment time Additional payment Checklist FAQ

Conclusion: Divide payment into four categories: recipient, timing, scope, and method.
First, check who you will be paying, when the payment will be processed, what is included in the amount, and what payment methods are available. The Japan Tourism Agency's Q&A on ryokans (Japanese inns) states that payment timing varies depending on the ryokan and booking site, and that some only accept on-site payment, others only accept advance payment, and some allow both.
Even if you enter your card number on a booking website, the process can vary: full payment may be processed immediately, payment may be processed on the day of your stay, only card information is used for guarantee, or you may only be charged if cancellation fees apply. Check which option is displayed on the screen: "Online Card Payment," "Payment at the Hotel," or "Booking Guaranteed with Card Information."
Payment timing is divided into four types.
| Payment time | Main forms | Confirm |
|---|---|---|
| At the time of booking | Online prepayment | Invoice date, currency, issuer |
| Before the day of arrival | Bank transfer / Credit card payment at a later date | Deadline, fees, and payment confirmation |
| At check-in | Prepayment/Deposit | Payment method for additional charges |
| At check-out | Settle the payment for accommodation and usage. | Statement, card, cash |
Even if you are asked to show your card or pay a deposit at check-in, the final charge is not necessarily confirmed at that time. Some accommodations consolidate charges for beverages, shop purchases, and private baths used during your stay at check-out. Confirm the purpose, amount, and cancellation/release period.
When making a bank transfer, please confirm the recipient's name, the deadline, the transfer fee, and how it will be verified against the reservation name. If you receive a sudden notification via email about changing to a different account, do not use the contact information in the email; instead, check the contact details on the hotel or vendor's official website.
Even if you choose to pay on arrival, you may still need your card information to guarantee your reservation. Don't assume that prepayment is complete just because you entered your card number; read the payment section in your reservation confirmation email. The pros and cons of prepayment versus on-site payment.
It's easier to reduce the basic payment on the day. Check the change/refund contact point and on-site additional charges.
You can check the details and pay at the hotel. Confirm the payment method and the amount of cash needed.
Accommodation fees are paid in advance, while taxes and beverages are paid locally. Keep both receipts.
Prepayment can be convenient for gifting to travel companions, shortening on-site settlements, and managing currency. However, some products require cancellation and rebooking if you need to change dates, number of people, or room type. Check if changes are possible, and confirm the refund policy and timing.
For on-site payments, you can check the details of any additional items used at the end of the transaction. However, there is no guarantee that your preferred card or QR payment method will be usable, and communication problems or terminal malfunctions may occur. Do not assume you will have no cash at all; prepare alternative payment methods.
"Which is better" isn't determined solely by the payment timing. We'll compare the same room, meals, number of people, taxes, cancellation policies, points, and exchange/credit card fees. The total travel cost isBudget for a hot spring tripWe will compare them using this method.

Some accommodations add beverages and additional dishes to the bill with the room number and signature. When ordering, confirm the unit price and whose room it will be charged to, and review the detailed statement at checkout. The Ministry of Economy, Trade and Industry recommends electronic money, QR code payments, debit cards, and credit cards as the main means of cashless payment. However, the fact that these are becoming more widely used throughout society does not mean they are accepted at specific hotels. Please check your reservation plan and the individual shops within the hotel.
The card must be used by the cardholder only, and the PIN and security information should not be shared with others. The Japan Credit Association also advises against lending or borrowing cards and to manage your PIN. Even when paying for the expenses of companions, the cardholder must handle the transaction.
The Ministry of Economy, Trade and Industry is urging people to check their statements and transaction notifications and contact their credit card company if they find any charges they don't recognize. They are also advised to save reservation confirmations, cancellation confirmations, and on-site statements, and to avoid sending their entire card number via email.
When the person who made the reservation, the guest, and the person who paid are different.
For family trips, anniversary gifts, business trips, and group bookings, the name on the reservation, the actual guest, the cardholder, and the recipient of the receipt may differ. Please inform us in advance if proxy booking is possible, including the guest's name and contact information, identity verification, and who will be responsible for any additional charges at the hotel.
If you don't want to show the total amount to the local staff when giving a gift, confirm what can be paid in advance, any additional charges, the itemized breakdown, and whether a receipt will be sent. Simply asking the accommodation to "pay for everything" may not include things like beverages and hot spring taxes.
For company expense reimbursements, we verify the receipt's recipient name, purpose of payment, guest name, number of people, tax breakdown, invoice compatibility, and whether it was issued by the booking site or the hotel against our company regulations. Since changes or reissuance may not be possible after issuance, we confirm these details before payment.
Deposit, card verification, and display that appears to be double-billing.
Some accommodations require card verification or a deposit upon check-in, with final settlement occurring later. The process of temporarily reserving credit on your card and the final sale are not necessarily the same thing. If there are any unclear provisional reservations on the screen or statement, please confirm the transaction name, amount, and release date with the accommodation and the credit card company.
Even if you see both a pre-payment on the booking site and a charge from the hotel upon arrival, don't immediately conclude it's a double charge. Check for additional charges, taxes, provisional bookings, separate bookings, and pending cancellations using the booking number and amount. If you don't recognize the charge, don't ignore it; contact your credit card company.
I will not verbally or via email share my PIN, one-time password, or the code on the back of my card with hotel staff or any third party. I will not open any links that I am unsure are legitimate payment screens, and I will confirm my reservation through the official website.
Refund destination and timing for cancellations and changes
If you cancel a pre-payment, the accommodation may not refund you in cash; the refund may be processed through the card used for payment or the booking website. The date the seller processes the cancellation may not be the same as the date it appears on your card statement.
If there is a cancellation fee, check the indication of whether it will be a full cancellation, a re-charge for the cancellation fee only, or a refund of the difference. Since it may be offset in the following month or later after being charged, save the cancellation confirmation email and your card statement. Do not assume a general reflection date, but confirm with the seller and your card company.
Changes to dates, number of guests, or room type may result in the original reservation being cancelled and a new reservation being made, rather than a partial refund. Please check availability, price, cancellation fees, and refund timing before making any changes.Cancellation fee for hot spring innPlease check the procedure.
Decide in advance whether to pay for multiple people/multiple rooms.
When traveling with family or friends, there are several payment methods: one person pays the full amount and settles the bill later, payments are made per room, or each person pays individually. Since accommodations don't always allow for flexible billing, it's important to confirm at check-in how charges will be applied to the room, including drinks at meals, items purchased at the gift shop, and who will receive the receipts.
If you book multiple rooms under the same reservation number, you can consider a combination where the prepayment on the booking site is made to the representative's card, and additional rooms are charged individually upon arrival. If your travel companions arrive separately, inform the hotel who will present the card or deposit first, and who will settle the bill at the end.
Splitting the bill using apps or money transfers is for settling expenses among travel companions and does not prove that payment to the accommodation has been completed. Keep the accommodation receipt and the record between travel companions separate. If you change accommodations for two nights or more,Number of nights for a hot spring tripHere is a list of payment dates for each accommodation.
Check the currency and exchange rate displayed on cards issued overseas.
Even if your card brand is supported, overseas-issued cards may not be able to be used for payment due to issues such as identity verification, card company restrictions, or available credit limits. Before traveling, check your overseas usage settings, contact information, and app notifications, and prepare alternative methods such as another card or cash.
If the currency displayed on the booking site differs from the final billing currency, the amount may change due to exchange rate conversions and fees. "Displayed in Japanese Yen" does not necessarily mean that the billing will be in Japanese Yen, so please check the currency symbol, billing amount, and card company's terms and conditions immediately before payment.
If the local terminal displays an option to choose between your local currency and Japanese yen, check the exchange rate and fees before making your selection. We cannot definitively say which is more advantageous. Please verify on the spot that the currency and amount are correctly displayed on your receipt.
In mountainous areas or when traveling without a car, ATMs and currency exchange locations may be far away. Prepare the necessary cash before heading to your accommodation, and set aside money for transportation and your return trip.Hot spring trip without a carPlease also check the final section.
Prepare for early morning departures and payment errors.
For early morning checkouts, we confirm whether payment can be made before front desk hours, whether additional charges can be incurred after payment the previous night, key return, and receipt receipt. If you are in a hurry to catch a train or shuttle in the morning, we ask if you can just review the details the night before.
If card or QR payment is not possible, check the error message before repeating the same operation multiple times. The cause can vary, including communication issues, terminal issues, PIN issues, identity verification issues, transaction limits, and card company restrictions, so follow the instructions from the accommodation and payment company. Before switching to an alternative card or cash, check whether the original payment has been finalized.
For plans with a short booking date or early bird discounts, payment methods and cancellation conditions may differ from those of regular plans.Early bird discounts at hot spring innsPlease check, and if you are eating out without a mealRoom-only stay at a hot spring innWe will also provide payment options for external stores.
Do not leave the hotel unresolved, leaving the situation as it is. Prepare your reservation number, usage details, and payment receipt and contact the hotel. Do not resort to methods that cannot be officially verified, such as mailing cash or hastily transferring money to a third party's personal account.

Hotel Payment Methods FAQ
When do I pay for the inn?
Depending on the inn and booking method, payment may be required in advance at the time of booking, at check-in, at check-out, or a combination of advance payment and additional charges at the location. Please check the payment timing and recipient on the booking screen and in the confirmation email.
If I pay in advance, will I not need to pay anything at the inn?
Even if you have already paid the basic accommodation fee, there may be additional charges such as hot spring tax, lodging tax, beverages, extra meals, private baths, and parking that must be paid on-site. Please check the details of your reservation and the section for on-site payment.
Can I use a credit card at the inn?
This varies depending on the accommodation, plan, and payment method. Even if you can use the card for online payment on the booking site, it doesn't necessarily mean you can use the same card for additional payments at the hotel, so check the supported brands, PIN, and spending limits.
Are there any inns that only accept cash?
Yes, it is possible. Also, even in accommodations that accept cards, some items, hot spring tax, gift shops, and outsourced services may only accept cash. In mountainous areas, ATMs may be far away, so check the amount you need and have some extra cash on hand.
Can I use QR code payment or electronic money?
The availability of cashless payment options varies from facility to facility, and the brands and areas where they can be used also differ. Don't rely solely on the term "cashless payment accepted"; confirm which services are covered (front desk, shops, restaurants, etc.) and what alternative payment methods will be used in case of communication failures.
Can I pay even if the person who made the reservation and the cardholder are different?
This depends on the booking site, credit card company, and accommodation's policies. As a general rule, credit cards are used by the cardholder themselves, so for bookings made by proxy or as gifts, please check with the booking office in advance regarding the availability of special plans, advance payments, gift certificates, etc.
Where do I get a receipt from the inn?
The issuer of the invoice depends on who receives the payment. For advance payments made through booking websites, the invoice is issued by the website, while for on-site payments, it may be issued by the accommodation. Therefore, please check the requirements for the recipient's name, purpose of payment, installment payments, and invoice before making the payment.
When will I receive my card refund after canceling?
After the accommodation/seller processes the cancellation, depending on the credit card company's billing cycle and statement processing, the charge may be cancelled or refunded after the initial charge. We will keep a record of the cancellation completion and confirm the timing with the seller and credit card company.
